OFFICE ADMINISTRATOR / BOOKKEEPER
JOB DESCRIPTION

Reports To: Pastor and Personnel Committee
Job Classification: Part-time/ 25 hours per week. Regular office hours required but potential for some remote work.
Compensation: $22-$25 per hour based on experience.
General Summary: Responsible for the efficient operation of the church office by performing necessary, secretarial and financial duties and by being a contact for visitors and church members.
Office Administrator Responsibilities:

General office support that includes: typing, mailing, filing, record keeping, answering phones, greeting visitors, ordering supplies and operating and maintaining office equipment.

Serve as secretary to the Pastor of the church and provide support to church committees as directed by the Pastor.

Provide support to the Leadership Team and committees by maintaining files and minutes provided by each team.

Maintain the church website and organize archived videos on YouTube.
-
Update and maintain the church calendar – both paper and online versions.
-
Organize volunteer needs as identified by Leadership Team and committees.
-
Maintain master membership records in Church Windows computer program and generate mailing labels, group or class lists, directories and other reports as requested.

Process outgoing mail and go to the post office twice a week.
-
Track and maintain the giving envelop system.
-
Support Stewardship Committee with administrative tasks.
-
Prepare, edit and email the weekly Enews. Mail a hard copy, along with the Worship Order and sermon, to members without an email address.

Prepare all pertinent materials for the Financial Report and the Annual Ministry Report.
-
Manage the street sign; keep updated with current events.
-
Manage BCC Social Media accounts (Instagram, Facebook and Next Door)

Maintain hallway bulletin boards.

Other duties as assigned.
Bookkeeper Responsibilities:

Financial record keeping to include: general ledger, monthly records, recording pledges, monthly/annual reports for the Leadership Team, accounts payable, budget files, trust accounts (updating, deposits, interest, gift records, opening new accounts), managing petty cash, payroll and taxes.

Posting weekly contributions and generating giving reports when requested.

Distribute invoices to the appropriate Team and Committee leaders, Moderators or Pastor for their review.

Recruit, train and schedule money counters.
Requirements:
-
High school diploma.
-
Minimum 2 years of office experience.
-
3-5 years of bookkeeping experience, specifically in the following areas: AR/AP, General Ledger and payroll.

Working knowledge of Google and MS Office. Experience in Church Windows, Canva, Mailchimp and Wix is highly desired.

Working knowledge of Instagram and Facebook.
-
Maintains strict confidentiality.
-
Knowledge of business office procedures.
-
Demonstrated skill in answering the phone and greeting visitors in a pleasant and helpful manner.
-
Ability to establish effective working relationships with staff and church members.
-
Knowledge of grammar, spelling and punctuation to create documents.
-
Willingness to participate in professional development.
-
Website design experience a plus.

DIRECTOR OF FAITH FORMATION
JOB DESCRIPTION
Reports To: Pastor and Personnel Committee
Job Classification: Part-time/ 20 hours per week. Regular office hours required but potential for some remote work.
Compensation: $22-$25 per hour based on experience.
General Summary: The Director of Faith Formation will strive to create a program that supports the spiritual and faith development of children and adults of all ages and their families, integrating them into a life of service as active participants within the congregation at Brookfield Congregational Church and our local community.
Director of Faith Formation Responsibilities:

To be responsible to the congregation thorough Leadership Team and the Pastor.

Participate in worship as agreed upon with the Pastor.
-
In conjunction with the Pastor and church Leadership Team, develop, establish, and maintain a Faith Formation program which incorporates an intergenerational approach and provides a cohesive and consistent experience to enable children, adults, and families to become active in their faith and membership at Brookfield Congregational Church.

This position is expected to oversee volunteers but also be “hands-on” and willing to assist wherever help may be needed.

Provide guidance, coordination, and supervision of all current and future Faith Formation programs and volunteers, including curriculum purchasing, training, and appreciation for volunteers.

Work with the Faith Formation Team in developing a creative and effective curriculum for the church school.
-
To provide oversight and support to the Faith Formation programs.
-
Collaborate with the Pastor and Leadership Team to develop, continually assess, and improve all Faith Formation happenings.
-
Work with the church staff and Pastor to provide regular communication concerning Faith Formation happenings.
-
Participate in community outreach, creating a welcoming experience for individuals attending Brookfield Congregational Church functions as guests, and serving the local community’s needs.

Develop a yearly budget for Faith Formation.
-
Attend monthly staff meetings.
-
Participate in a Community of Practice group through the WI Conference UCC.
-
Work with the Faith Formation Team to plan and organize mission trips and retreat opportunities for all ages.
-
Maintain regular weekly office hours.
-
Assist the Pastor and ministries as needed.
-
Provide an annual report.
Requirements:
-
A strong background in education, ministry, religious studies or equivalent, or enrolled in such programs.
-
Be available on Sunday mornings, Christian Holidays, and occasional evening hours.
-
Committed to working with all staff, lay leadership, and volunteers.
-
Possess excellent written and oral communication skills along with strong administrative and organizational skills.
-
Have a working knowledge of Microsoft Office and Google Workspace. Knowledge of Mailchimp a plus.

Experience as a leader in active youth and adult group settings.
-
High degree of personal integrity and responsibility, demonstrated through ethical behavior, professionalism, and regular and reliable attendance.

Self-starter who enjoys working with and providing direction to a diverse group.
-
Be proficient in time management, self-discipline, and independent follow-through.
-
Ability to speak in front of large group settings.
-
Two professional references required.
